Core Associates an AvidXchange Company Legacy TimberScan AP Automation ERP Financial Management n/a 2017 2017
In 2017, O'Donnell/Snider Construction implemented TimberScan for AP Automation to centralize project-level invoice and purchase order processing. The deployment focused on supporting accounts payable, project administration, procurement, and document control across construction projects managed by project managers and superintendents. TimberScan was configured to handle purchase order processing, subcontractor invoice routing, vendor invoice capture, project coding, and reporting workflows, aligning AP Automation capabilities with on-project financial controls. Administrative processes remained tightly coupled to the application, with staff performing phone support, data entry, reporting, correspondence distribution, and invoice processing inside TimberScan. The implementation operated alongside Timberline, Box.com and PlanGrid, with workflows that used Timberline and AIA forms for contract creation and tracking, and Box.com and PlanGrid for plan and document distribution to project teams. Operational coverage included coordination with permit runners and municipal permitting offices in Houston and surrounding counties, reflecting integration of permitting paperwork and project file exchange into routine AP and project closeout processes. Governance emphasized document retention and follow up, with centralized tracking of submittals, product data, record drawings, contracts, insurance certificates and bonds, and formalized closeout output as printed binders or electronic files for clients. The configuration supported project managers by automating invoice assignment to specified projects and preserving audit trails for subcontractor and vendor payments, embedding AP Automation into procurement and project closeout workflows.
