| Oracle | Legacy | Oracle NetSuite ERP | ERP Financial | ERP | n/a | 2014 | 2014 |
In 2014, Open Society Foundations implemented Oracle NetSuite ERP to establish core ERP Financial capabilities across finance and IT. The deployment was led by a sole functional and technical owner on the IT-Finance team who collected functional and technical business requirements, re-wrote policies and procedures, and created system workflows and scripts that reduced capital payout costs for OSF.
The implementation configured and operationalized specific modules including G/L, A/P, FAM, Procurement, tracking, and Workflow/Analytic reporting. Workflows and scripting were implemented end to end, ranging from Payment Approver Alerts to automated updates of Payment Request Status, and scripting logic to determine exemption bucket amounts and to automate Fixed Asset Creation and Depreciation; daily requirements drove documentation and enhancements for NS214.1 as part of the NetSuite upgrade to 2014.2.
Operational coverage explicitly spanned both Information Technology and Finance functions, with the same individual acting as the single point of contact for on-site teams, off-shore resources, upper management, and end-users to consolidate requirements and drive delivery. The role included fully taking over NetSuite's on-board consultants to align platform configuration with OSF business needs and to create cooperative outcomes for both NetSuite and Open Society Foundations.
Governance emphasis focused on quality assurance and auditability, with structured positive and negative testing, detailed tracking of test results to support internal auditing, and comprehensive documentation to ensure accurate transaction and process records. Process automation and workflow ownership reduced manual handoffs, while scripting and workflow instrumentation formalized approval paths and fixed asset lifecycle processing.
Oracle NetSuite ERP served as the system of record for ERP Financial operations at Open Society Foundations, centralizing G/L, payables, fixed assets, procurement, and reporting workflows under a single cloud ERP instance, while the implementation owner maintained continuous enhancement, governance, and cross-team orchestration.
