In 2002 Otc Direct implemented Concerto CAFM as its Enterprise Asset Management solution to centralize control of physical assets and maintenance workflows. The deployment targeted the company headquarters in the United Kingdom and was sized for a 60 person life sciences wholesaler, focusing on day to day facilities and maintenance operations alongside finance-facing asset accounting.
Concerto CAFM was configured to deliver core asset register capabilities, preventive maintenance scheduling, work order management, space and contract records, and inventory tracking for spare parts. Configuration emphasized role based access for facilities users and finance staff, and standard functional workflows for work order intake, scheduling, completion reporting, and asset lifecycle tracking to support operational continuity.
Integrations were implemented with the organization s financial and data tools as part of the rollout, specifically linking Concerto CAFM to MFG Pro Accounts, Leonardo, and an internal Access database to synchronize asset cost data, purchase and maintenance transactions, and vendor records. These integrations enabled reconciliation of asset expenditures with existing accounting ledgers and supported daily cash allocation and VAT related recordkeeping performed by finance personnel.
Governance and process changes established clear responsibilities for maintenance planning and accounting reconciliation, with formalized procedures for work order authorization, asset tagging, and periodic trial balance reconciliation linked to asset ledgers. The implementation positioned Otc Direct to operate Concerto CAFM as the primary Enterprise Asset Management system, aligning facilities, maintenance, and finance functions around shared asset and maintenance data.
