In 2017 Oxford Brookes University implemented Ellucian CRM Recruit as part of a multi‑phase student records programme. The Ellucian CRM Recruit deployment was initiated during a formal scoping phase that defined requirements across the student records system, CRM and a new integration platform, positioning CRM functionality to support university Admissions and Enrollment Management workflows.
Implementation scope covered a phased roll‑out that included an Admissions go‑live in September 2018 and staged full lifecycle cutover planned through early 2019 with a final switch over in June 2019. Ellucian CRM Recruit was configured to manage recruitment pipelines, prospect and applicant tracking, and admissions processing, and it was paired with concurrent Ellucian Banner workstreams under the same programme.
The programme delivered an integration platform that began to provide connectivity to over 30 satellite systems, following an earlier assessment that catalogued more than 40 system integrations and data sources. Procurement activity used NEPRO and a PQQ plus OJEU approach to acquire the CRM, student records and integration platform components, and the technical design work identified integration touch points for course and student data extraction from longstanding in‑house systems.
Governance and operational change were formalized through a programme board, technical design authority and a data ownership policy, with dedicated workstreams for reporting and business analysis. The reporting workstream produced a new suite of admissions reports to improve operational reporting and to support clearing activities, and delivery combined in‑house, contract and supplier resources while embedding process redesign, data governance, and ITIL aligned change and incident processes.
