In 2016, Oxford University Innovation implemented KeepIT Cloud Backup. The deployment used KeepIT Cloud Backup as a Backup as a Service (BaaS) solution to provide a dedicated data protection layer for the subsidiary that manages the University of Oxford’s technology transfer and patent records.
KeepIT Cloud Backup was configured as a cloud-to-cloud SaaS backup, providing automated backup, searchable archival and rapid restore capabilities designed to meet a 33 year retention requirement for intellectual property records. The implementation emphasized long term retention and point-in-time recovery, using KeepIT Cloud Backup’s proprietary cloud backup technology to locate and restore historic items in minutes.
The solution was integrated with the organisation’s Microsoft 365 estate, and was onboarded just prior to a migration from Exchange 2010 to Microsoft 365 to ensure continuity of protection during the move. Operational coverage focused on intellectual property management, records retention and technology transfer workflows, and the roadmap explicitly includes onboarding additional SaaS systems such as Dynamics 365 for extended coverage.
Governance for the rollout included a formal security and selection process followed by a rapid onboarding that enabled the migration to occur overnight with no data loss. Since deployment, KeepIT Cloud Backup has supported three critical data restorations, outcomes that the customer reports will potentially avert multi‑million pound losses and protect reputation, while addressing the higher risk profile tied to losing patent and IP records that could cost the university hundreds of millions of pounds if breached.
