In 2020, Aperto Property Management implemented Yardi Payscan as its AP Automation solution. The implementation targeted AP processing for property management and accounting, engaging the internal Yardi team, property supervisors, accountants and on-site staff during onboarding and configuration.
Yardi Payscan was configured to provide invoice capture and imaging, automated approval workflows, voucher creation and vendor remittance orchestration, consistent with AP Automation capabilities. Configuration work included developing Yardi import and ETL files, creating SQL extraction scripts and writing custom reports using Yardi scripting language and YSR skills to support operational reporting and exception handling.
The Payscan deployment was integrated with other Yardi modules in use at Aperto, including Affordable, RentCafe and Checkscan, enabling invoice and remittance data flows across property operations and resident-facing systems. Operational scope included accounts payable, property operations and finance teams, with data validation and scrubbing performed during new property onboarding to ensure transactional accuracy.
Governance and process changes were managed by a Sr. Yardi Support Specialist role responsible for coordinating new property onboarding, data validation, conversion testing, support ticket triage and report development. Implementation included establishing testing and validation checkpoints, documentation of import scripts and report definitions, and operational handoffs to on-site staff and accounting teams for ongoing AP Automation operations.

In 2020 Aperto Property Management implemented Yardi RentCafe as its Real Estate CRM. Yardi RentCafe was provisioned to centralize leasing, resident accounting and online tenant services across multiple property operations and to serve property supervisors, accountants and on-site staff.
The implementation configured Yardi modules including Rent Café, Affordable, Payscan and Checkscan, and leveraged Yardi Scripting Language for custom report writing. Functional workstreams included conversion data mapping, ETL import file development, SQL-based data extraction and custom report development, along with systematic data scrubbing and resident ledger validation.
Operational ownership centered on a Sr. Yardi Support Specialist who coordinated new property onboarding, performed data validation and testing, triaged support tickets related to new features and property transitions, and reported conversion issues for cross-department resolution. The team also evaluated products under consideration for integration with Yardi RentCafe and built custom SQL scripts and ETL artifacts to support those integrations when appropriate.
Governance was formalized through documented implementation projects, structured testing cycles and escalation processes for data inconsistencies. Compliance requirements including LIHTC, Project Based Section 8 and Housing Choice vouchers were addressed in configuration and reporting, and ongoing support, reporting and training responsibilities were assigned to the internal Yardi support function.
