In 2016 Pet Partners implemented Tungsten TotalAgility, formerly Kofax TotalAgility, categorized as Intelligent Document Processing and engaged Optima Global Solutions to reengineer accounts payable processes. The initiative targeted a distributed network of roughly 60 acquired veterinary hospitals and an accounts payable workload of approximately 6,000 invoices per month, with the goal of scaling administration without proportional headcount growth.
The deployment combined intelligent capture, multichannel capture and case management capabilities with configured approval workflows, general ledger integration and role-based dashboards. Optima delivered its transcendAP solution built on Tungsten TotalAgility to provide automated data extraction, GL integration and approval routing, and Pet Partners leveraged Kofax Analytics for TotalAgility to instrument operational reporting and process transparency.
Architecturally the solution centralizes invoice intake from scanned paper at local offices and electronic invoices routed to a dedicated inbox, both monitored and imported into a central processing hub. Tungsten TotalAgility was tightly integrated with Microsoft Dynamics GP and with each hospital accounting system for real time vendor and GL validation, and approved invoices are exported back to the relevant accounting systems for payment processing. The primary user surface is a single web based portal where accounting teams review, approve and monitor invoices.
Process governance was reworked around business unit and dollar threshold approval rules, with a complex multi step approval flow implemented inside Tungsten TotalAgility to enforce validation and routing. The project was configured and deployed by Optima Global Solutions in a matter of months, and it preserved front end procurement behaviors at hospitals while automating back end invoice handling to eliminate manual data entry.
Explicit outcomes reported by Pet Partners include reducing invoice processing timelines from weeks to days, shortening month end close and payable bottlenecks from 20 days toward targets of 7 and ultimately 3 days, and increasing the number of hospitals a single accountant can support from about a dozen to roughly 25 to 30. The organization estimated a full return on investment in 18 months and plans to extend the existing Tungsten TotalAgility platform to HR onboarding and hospital acquisition workflows while using analytics driven line item data to inform purchasing strategies.
