In 2013 PharmaPac implemented WinMan ERP as its core ERP Financial application to support production, inventory and compliance workflows across its UK life sciences operations. WinMan ERP was positioned to centralize financial posting alongside operational record keeping to align production activities with stock and cost visibility.
The implementation emphasized inventory control and production record capabilities, configuring modules to handle ordering, issuing, checking, returning and reconciling components required to complete each order. The deployment included online batch documentation and review workflows to enforce adherence to SOPs, and configuration to support quality control checkpoints consistent with cGMP and EH&S guidelines. Financial and purchasing processes were aligned with stock reconciliation and batch-level traceability typical of an ERP Financial system.
Operational coverage encompassed production floors, the warehouse, quality control, and management teams, with users from team leaders up to production management exercising system workflows during daily operations. The WinMan ERP application was used to capture production batch events, support waste recording during production, and provide supervisors with tools for manpower allocation and shift cover activities.
Governance and rollout focused on training and process adoption, supervisors and team leaders receiving guidance to review online batch documentation and report according to procedures. Staff involvement included providing supervisor cover in the absence of shift managers and training new team leaders, while production management used the WinMan ERP implementation as part of continuous improvement and compliance enforcement efforts.

In 2016, PharmaPac implemented Sage 50 Payroll to centralize Payroll operations and support HR functions for its UK life sciences workforce. The Sage 50 Payroll deployment was targeted at a staff population of more than 200 employees and established a single system of record for statutory payroll processing and reporting.
The implementation focused on core Payroll capabilities, including processing starters and leavers, statutory deductions, redundancy calculations, end of year submissions, P11D production, full payroll reconciliation, and earnings and tax reporting. Configuration work extended to rostering and holiday allocation workflows, and the payroll team used Sage 50 Payroll for preparing summaries of earnings, taxes, deductions, leave, and non taxable wages.
Integrations and operational touchpoints included electronic HMRC submissions, ongoing updates to the company pension system, the real time clocking system for time capture, and access to online banking to execute weekly payment runs and foreign payments. Operational coverage connected Payroll closely with HR, pharmacy site managers, and finance for payment and statutory compliance flows.
Governance and process restructuring accompanied the technical implementation, moving from a manual setup to more automated payroll workflows which reduced routine administration. The payroll lead took on expanded HR responsibilities, conducting investigations and disciplinary hearings, and contributed to rewriting the company handbook and the sickness and absence policy to align people processes with automated payroll controls.
The project produced explicit operational outcomes stated by the company, most notably a reduction in monthly payroll queries from an average of 50 to just 5, and freed payroll capacity to allow focused HR process work. PharmaPac Sage 50 Payroll now underpins day to day Payroll and HR activities, supporting statutory submissions, payroll operations, and workforce administration.
