In 2016, Pine State Trading implemented Epicor ECM AP Automation in an AP Automation initiative to centralize and digitize accounts payable operations. The implementation, led with professional services from PiF Technologies, targeted the AP function at Pine State’s Gardiner, Maine operations and was designed to handle the company’s high invoice volume and vendor base.
The deployment included Epicor ECM AP Automation with Epicor ECM Advanced Workflow, Epicor ECM Datalink, Epicor ECM Application Integrator, and Epicor Intelligent Data Capture. Configuration workstreams established automated workflows to handle inventory with freight, inventory without freight, freight invoices, and noninventory invoices, plus electronic forms and intelligent data capture to replace manual keying. Automatic purchase order matching was implemented to enable touchless straight-through AP processing for qualifying invoices.
Integrations were explicitly built with Microsoft Dynamics SL and the VIP route accounting system to preserve transaction and master data continuity across the procure-to-pay chain. The solution provided end-to-end invoice lifecycle visibility, enabling users to validate whether an invoice was received, approved, and paid, and to retrieve payment details such as check number and date. Operational coverage included AP processing, vendor reconciliation including depletion allowances and prepaid deductions, and month-end close activities within the finance organization.
Governance and process transformation centered on replacing paper-based routing and physical archival practices with automated workflows and electronic retention, standardizing approval paths and exception handling. Outcomes documented by the company include processing roughly 4,000 invoices per month with half of invoices processed touchlessly, reducing AP headcount from four to two, accelerating month-end close from 10 days to two days, and achieving an 18 month payback. The cloud-enabled AP Automation design also supported business continuity during COVID by enabling remote invoice approvals.
