In 2020, Polywood implemented Acumatica Cloud ERP, deploying Acumatica Enterprise Manufacturing Edition to connect manufacturing, inventory, e-commerce and billing. Integrations were delivered via Martin & Associates to connect Acumatica Cloud ERP with e-commerce channels and billing touchpoints, enabling end-to-end order flow from online sales through shop floor execution and distribution. In 2019, Polywood implemented Zendesk Chat to extend its Chatbots and Conversational AI capabilities. Zendesk Chat was deployed as a unified email and chat inbox supporting accounts payable, accounts receivable and customer inquiry workflows at the 1,500 employee United States distribution company.
The implementation focused on live chat routing, a consolidated inbox for email and chat, canned responses and transcript capture to support audit and vendor reconciliation activities performed by finance staff. Zendesk Chat was configured to route vendor and customer conversations into structured workflows, enabling clerks to document case notes, escalate issues to purchasing agents, and preserve chat history for month end and annual closing activities.
Operationally Zendesk Chat was used alongside Sage for ERP accounting, Saber for production scheduling, Sharpen for softphone handling, Magento for web storefront operations, Salsify for product information, ScreenSteps for training documentation and Google suite tools for general collaboration. The deployment covered finance and customer support touchpoints, and the application served as the primary conversational layer to assist with accounts payable inquiries, collections calls routed from softphone software, and customer-facing questions originating from the website.
Governance emphasized process documentation and user training, with ScreenSteps training how to’s supporting consistent agent responses and documented escalation procedures for vendor payment disputes. The configuration reinforced transactional control points used by AP staff to audit invoices against purchase orders, record payment approvals, and maintain documented communications for invoice resolution.
