In 2014, Proofpoint implemented Microsoft Dynamics GP to centralize core financial operations under the ERP Financial category. Microsoft Dynamics GP served as the system of record for accounts payable, general ledger postings, and financial transaction capture across corporate finance functions.
The implementation focused on high volume accounts payable processing, with staff matching, batching, coding, and entering 500 to 750 supplier invoices per month into Great Plains Microsoft Dynamics. Functional capabilities included vendor master setup workflows that captured W-9 and ACH details, invoice documentation review for completeness and accuracy, invoice approval routing and approver communications, corporate card transaction processing, and preparation of month end accounts payable accruals, journal entries, and reclasses.
Expense management was operated across US and EMEA operations using Concur Solutions for employee expense reporting, with expense data reconciled and posted into Microsoft Dynamics GP for accounting and control. The deployment therefore connected Concur driven travel and expense workflows to the ERP Financial posting layer, and incorporated corporate card receipt capture, coding, and entry into Great Plains Microsoft Dynamics as part of end to end transaction processing.
Governance and workflow changes accompanied the technical implementation, including assistance with the rollout of a new Worldwide Travel and Expense policy, enforcement of travel and entertainment compliance rules, and escalation processes for non compliant expense reports. Operational controls emphasized timely approver communication, consistent vendor onboarding, and standardized month end close procedures for accounts payable and expense related accounting.

The deployment of SAP Concur Travel addressed Travel Management needs across Events, Sales, Conference teams and corporate travelers globally, formalizing how bookings and expense controls are executed company wide.
The implementation configured core booking and itinerary management capabilities, group travel coordination for small to large global teams, and expense management controls. Proofpoint applied policy enforcement, approval workflows, and an expense auditing function that aligns with the work of a dedicated team of expense report auditors.
Operationally, SAP Concur Travel was integrated into Proofpoint’s travel program through close coordination with the Concur system and a travel agency partner, while ongoing supplier management included airlines, hotel and car rental vendors. The setup supported coordination with Administrative Assistants to manage VIP and sales traveler preferences, seat assignments, hotel upgrades and vehicle readiness.
Governance responsibilities were centralized under a Travel Program Manager who owned changing, maintaining and enforcing travel and expense policy, conducted business reviews and RFPs with travel providers, and negotiated vendor terms. This governance model structured vendor negotiations, traveler support processes and internal workflows for travel and expense compliance across the organization.
