In 2014, Public Trust implemented Microsoft Dynamics NAV. Microsoft Dynamics NAV was deployed as the enterprise ERP Financial application to centralize accounts payable, vendor master data, bank payment processing, employee expense claims, procurement card administration, and weekly pay-run activities for the New Zealand finance function.
The Dynamics NAV deployment was used to validate and post AP ledger entries, with operational workflows that included checking batches imported from CAAPS for balance and making corrections prior to posting. Core functional capabilities observed include accounts payable batch processing, vendor reconciliations, charging expenses to accounts and cost centers, scheduling and preparing payments, processing employee expense claims and advances, and maintaining vendor banking and tax details. The system supported periodic international payment entry as New Zealand dollar amounts, end of month accrual preparation for business credit card transactions using assumptions, and routine filing of batches and system reports.
Integrations and operational coordination were explicit where batches were imported from CAAPS and procurement card administration was coordinated with Flexipurchase, including blocking and unblocking user access and issuing new p-cards under business policy. Governance and process controls were operationalized through verification of bank account details, resolution of purchase order contract invoice or payment discrepancies, weekly reminders to code and approve transactions, and a weekly pay-run that covered board members, fixed term staff, casual employees and contractors. Accounts Payable and Flexipurchase administration responsibilities were documented in day to day duties, with Microsoft Dynamics NAV and Microsoft Excel cited as primary tools for numeric data entry and reconciliation.

Governance adjustments included centralized tracking of applicant status and structured recruitment workflows, with administrative configuration controls and user role separation to support hiring governance. In 2014, Public Trust implemented IBM Cognos Impromptu within its Analytics and BI environment. The IBM Cognos Impromptu deployment was positioned to centralize corporate finance reporting and fixed assets reporting for the Corporate Office in the Wellington region, supporting ad hoc analysis and scheduled financial reports.
Implementation work for IBM Cognos Impromptu included configuration of reporting catalogs, standardized report templates, and role based access controls. The project encompassed data partitioning and the design and implementation of a user security framework, with requirements elicitation, BPMN process mapping, and iterative testing including unit, functional, and UAT phases led by a Senior Business Analyst and finance subject matter experts.
Integrations and data feeds were implemented with existing enterprise systems explicitly noted in project artifacts, including TM1/Cognos Express, E5 corporate AIS, Microsoft Dynamics Nav/NavOne, DME and Cohesion document management systems, Preceda HRIS, and SharePoint for report distribution.
