In 2011, Qualys implemented Oracle NetSuite ERP as its ERP Financial system to centralize core finance and procurement functions. The deployment focused on finance stakeholder alignment and established a Service delivery role for a Senior Business Systems Analyst, Finance who provided implementation, enhancements, maintenance, demos and end-user training across NetSuite, Coupa and Concur and their integrations with 3rd party SAS solutions.
The NetSuite implementation included configuration and rollout of finance and procurement modules such as Fixed Assets, Procurement Processes, Multibook Accounting, Dunning, Credit Card Processing and Bank Reconciliations. Implementation work emphasized configuring NetSuite user forms, fields and custom records to match Qualys accounting and procurement workflows, developing custom objects and SuiteApps where required, and performing script development and system API based extensions to support bespoke business process requirements.
Integrations were managed between Oracle NetSuite ERP and adjacent systems, with explicit operational links to Coupa and Concur plus touch points with DocuSign, Avalara and SalesForce as part of broader ERP-adjacent tooling. Functional coverage extended beyond core accounting to purchasing, item and inventory records, customer and supplier master data, receiving, order management, invoicing and shipping, and provided exposure to payroll, expense tracking, multi-currency processing, commissions and returns workflows.
Governance and controls were implemented through SOX-aligned user provisioning, role setup and financial process controls driven by system administration. Change management processes included review and management of NetSuite configuration and customization requests, Release Preview business process testing for NetSuite upgrades, regular data audits, maintenance of system documentation and an organized NetSuite training program to drive adoption and enforce system standards, policies and procedures.
Operational responsibilities remained ongoing and tactical, including support for user requests for searches, reports, KPIs and dashboards, monitoring end-user usage and system performance, and maintaining up to date knowledge of NetSuite functionality and customizations. The Senior Business Systems Analyst, Finance acted as the primary liaison with finance stakeholders for user acceptance testing, system upgrades and continuous configuration management of Oracle NetSuite ERP within the ERP Financial landscape.
