In 2019, Rotary International implemented Oracle Grants Management to centralize grant processing and strengthen financial controls within its Grant Management function. The engagement began with business process and financial systems consulting that ran current state and future state mapping across Record-to-Report, Procure-to-Pay, Grants, Donations, and Manage Cash to define scope and requirements.
Oracle Grants Management was configured to support grant lifecycle capabilities common to Grant Management, including award setup, application and approval workflows, compliance tracking, and financial accounting touchpoints. Consulting-led development sessions defined a new Legal Entity, General Ledger, and Cost Center structure to improve data flow and to enable easier transaction approval and auditability.
The implementation aligned grants and donations processing with core finance controls, integrating grant transactions into the organization level accounting constructs and cost center reporting used by finance and development teams. The project team also executed a selection process for a new system integrator to support the broader Oracle Cloud implementation and planned rollouts covering finance, grants administration, and donor operations.
Governance and process changes were formalized through redesigned approval workflows and recommended policy updates to enhance data capture and reduce transaction volumes. The initiative reduced the number of future state processes by 38 percent, and the overall project completed on time, under budget, with expanded scope.
