In 2018 Royal Belgian Football Association deployed RefAssist as a Workforce Management solution to manage referee appointments, scheduling and communications for match officials. The deployment centralized appointment orchestration for referees across national competitions and established a single system of record for officials scheduling and assignment workflows.
RefAssist was configured with core modules for scheduling, automatic appointment assignment and communications automation, delivering formalized availability handling, rule-driven assignment logic and notification workflows. Configuration focused on policy-driven assignment rules, time window constraints and automated messaging to reduce manual coordination by the refereeing administration.
The implementation included integrations with RBFA data sources to automate assignments and to synchronize match schedules and official availability, ensuring assignments were informed by authoritative competition calendars and registries. Operational coverage centered on the refereeing department and match officials across RBFA competitions, with the system acting as the primary platform for appointments and event staffing.
Governance shifted toward automated assignment workflows and centralized appointment approval, with process owners in the refereeing administration managing rule sets and communications templates. The project delivered explicit outcomes reported by RBFA, including a 25 to 30 percent reduction in transport costs and an approximately 80 percent gain in appointment process efficiency, achieved through the RefAssist Workforce Management deployment.
