In 2017 the Royal College of Physicians implemented Microsoft Dynamics GP as its ERP Financial solution, replacing Unit4 Financials, formerly CODA Financial. The implementation focused on addressing multi-site operations and complex VAT arrangements while delivering in-depth reporting and transparent visibility across the organisation.
Microsoft Dynamics GP was configured with FRx Report Writer to provide browser-accessible, real time reporting and with Integration Manager to link the core financials to payroll systems and other third party products. The configuration included role based user rights so departmental managers could access only their relevant reports, and security and reporting capabilities were emphasized to meet charity sector governance requirements.
Integrations were explicit components of the deployment, Integration Manager providing the connective layer between Microsoft Dynamics GP and existing payroll and ancillary systems, and the solution was aligned with the Microsoft Office suite to streamline data handling. Operational coverage included multiple offices across the United Kingdom and the central finance function, with the ERP Financial platform serving as the organisation wide source of transaction and management reporting data. The College also planned an eRequest purchasing project to create purchase orders, trigger supplier emails and post accounting transactions directly into Microsoft Dynamics GP.
The rollout followed a structured implementation lifecycle led by Advantage Business Systems using their OnTrack methodology, including data clean up and reconciliation of existing reports, a series of scoping workshops, and a parallel test implementation prior to cutover. Advantage Business Systems acted as the implementation partner and provided on-going help desk and consultancy support as the College migrated master data and established new reporting workflows.
Post implementation Microsoft Dynamics GP provided a centralised business management platform that removed repetitive manual rekeying, streamlined reporting distribution, and alleviated pressure on the Accounts Department. In 2016 Royal College of Physicians defined implementation plans for SAP BW (Business Warehouse) as part of a Data Warehouse program to support creation of a separate accounting entity, Academy of Physicians. The initiative positioned SAP BW (Business Warehouse) to become the consolidation layer for budgeting and financial reporting tied to the Academy Ledger.
The project scope required defining 'To be' blueprints for Record to Report, Procure to Pay, Order to Cash and CRM interfaces, and included the bespoke web based exam registrations system, Paypal payment interfaces and the expenses system. All interface specifications were designed to map transactions and master data into the Academy Ledger, and functional process flows were documented to enforce the accounting entity separation. Interface payloads and transactional touch points for R2R, P2P, O2C and CRM were captured as part of the blueprinting exercise.
The engagement documented the current 'As Is' Data Warehouse Budgeting and Forecasting application cube built on Microsoft BI, including ETL workflows, SSAS cube definitions and SSRS reports. This documentation was created with a view to migrating those artifacts to SAP BW on S4 Hana, and the workstream included a S4 Hana review and a software gap analysis ahead of implementation. ETL and reporting artefacts were inventoried to define migration and re‑engineering requirements for the target SAP BW layer.
A structured requirements engineering exercise was conducted to gather and document detailed business requirements from a broad community of stakeholders across finance, exams administration and CRM. Governance deliverables included 'To be' process blueprints and interface contracts to guide development, testing and data ownership aligned to the Academy Ledger boundary.
