In 2019, Shopify deployed Coupa Invoice as part of its AP Automation implementation to support Accounts Payable operations in Canada. Coupa Invoice was used to centralize invoice capture and validation workflows across PO-backed and non-PO-backed invoices within the finance function.
The implementation leveraged Coupa Invoice capabilities for three-way matching between purchase order, receipt and invoice for PO-backed transactions, and for validation of non-PO invoices against the company legal data source BrightFlag. Operational activities documented in the accounting team included weekly pending receipt follow-ups to prompt requesters to create receipts, semi-monthly business follow-ups ahead of payment runs to secure approvals, and the preparation of month-end accruals based on received invoices and average estimates for invoices not yet received. Coupa Invoice was used in tandem with NetSuite for downstream accounting posting and GL coding checks.
Integrations explicit to the deployment included NetSuite for accounting entries and BrightFlag for legal vendor data verification, with operational handoffs to Procurement for first-time vendor and PO issues involving subsidiary or currency attributes. The rollout encompassed the Global accounts payable inbox for vendor communications and portal registration support, indicating cross-functional touch points between Accounts Payable, Procurement and Finance.
Governance and workflow changes implemented with Coupa Invoice focused on formalizing cadence and controls, including weekly and semi-monthly follow-up procedures, three-way match enforcement, accrual generation methodologies using invoice history, and GL account validation steps. These controls were applied to invoice processing, approvals and vendor inquiry resolution within Shopify’s AP Automation environment.

Operational coverage emphasized the recruiting and talent acquisition function, with applications submitted through the Lever-hosted careers experience routed into a centralized recruiting queue. The integration with Shopify’s website preserved the employer-facing job catalog, while internal workflow instrumentation routed applicants to recruiting operations and hiring teams across the organization.
Governance centered on standardized pipeline definitions and role-based access for recruiters and hiring managers, aligning interview assignments and feedback capture with Shopify hiring processes. Data capture and candidate lifecycle workflows were structured to support consistent hiring governance and operational handoffs between recruiters and business stakeholders.

In 2017, Shopify implemented Oracle NetSuite SuiteFlow within its Business Process Management environment to formalize and automate key finance and HR workflows. The implementation sat inside a cloud first, SaaS-dominant application landscape, with the Senior Business Systems Analyst role closely partnered with Finance and HR stakeholders to translate business requirements into system design and operational workflows.
The deployment emphasized configurable workflow orchestration and custom development, using Oracle NetSuite SuiteFlow for approval routing and business rules, SuiteScript for bespoke automation logic, SuiteTalk for system integration endpoints, and Reports / Searches for operational reporting. A custom NetSuite solution was developed and implemented to automate the accounts payable process to a certain extent, reflecting category aligned automation such as form customization, scripted event handling, and workflow-triggered transaction processing.
Integrations were explicitly built and deployed using Dell Boomi, Workday Studio, and Workday EIB to synchronize worker related data between Workday, Salesforce, Oracle NetSuite and other cloud applications. Operational coverage focused on Finance and HR business functions, enabling cross functional data flows for worker records, transactional finance events, and reporting feeds across Shopify’s cloud application estate.
Governance and rollout practices included facilitation of requirement gathering sessions, preparation of functional process documentation, formulation of user acceptance test strategy and test cases, coordination and execution of testing, and ownership of enhancement documentation and release notes. Ongoing support responsibilities included system maintenance, platform enhancements, and planning for NetSuite upgrades and new releases while serving as the subject matter expert for the Oracle NetSuite SuiteFlow solution.
