In 2018 Simons Foundation implemented SAP Concur Invoice as a central component of its AP Automation initiative to introduce electronic invoice submission, automated approval workflows and ACH payments across its accounts payable function. The Simons Foundation, a New York based nonprofit with approximately 450 employees, extended its existing SAP Concur footprint that included Concur Expense, Concur Travel and Concur TripLink to unify invoice processing under SAP Concur Invoice and related Concur modules.
The deployment included configuration of invoice processing and purchase request flows, OCR document capture with reported 95 percent accuracy, automated approver routing and an added general ledger validation table within SAP Concur Invoice to prevent suspense entries from propagating into the foundation’s ERP. Functional capabilities implemented encompassed invoice intake and coding, approval workflow, electronic payment via ACH, reporting and analytics through a consolidated report and supplier onboarding functions tied to invoice processing.
Integrations and operational coverage were explicitly scoped to the AP organization and supplier ecosystem, including a supplier portal built with FormStack to collect banking and tax information, a centralized AP mailbox for electronic invoice submission, connections to Google Sheets for data handling and a Wipfli integration from the SAP Concur App Center to manage vendor and invoice data. The solution operated in a cloud model, leveraging existing Concur services and SAP Concur consultants to extend functionality and reporting for finance and accounting stakeholders.
Governance and rollout emphasized stakeholder engagement and minimal disruption, led by a three person project team and a 22-stakeholder working group supported by monthly status meetings and two design workshops to finalize process flows. Change management relied on prior Concur adoption to drive rapid user acceptance, with SAP Concur Express support used to accelerate configuration and training.
Explicit outcomes reported by the foundation included a reduction in manual touch points per invoice from 16 to 4, OCR accuracy of 95 percent across more than 5,000 documents, approximately 100 hours saved per month on invoice work, and 98 percent of suppliers accepting ACH, enabling the AP team to remain lean while scaling operations. The implementation positioned SAP Concur Invoice and related Concur applications as the foundation’s AP Automation backbone for visibility, control and electronic supplier payments.
