In 2020, Smiths Group implemented Esker Accounts Payable as part of an AP Automation initiative to centralize invoice processing and approval workflows. The deployment positioned Esker Accounts Payable as the primary engine for invoice capture, automated reading, and routed approvals feeding downstream financial posting into SAP.
Esker Accounts Payable was configured to handle end to end AP functional modules including invoice receipt and OCR based reading, approval routing, vendor invoice posting to SAP, maintenance of vendor and employee sensitive finance records, preparation of SAP payment proposals and upload to the banking platform, and reconciliation of vendor statements and intercompany balances. The solution also supported routine AP activities such as weekly cash payment forecasting and aged accounts payable review.
Integrations were explicitly oriented around SAP for ledger posting and payment proposal preparation, and an upload interface to the banking platform for payment execution. The implementation operated alongside Concur SAP Cockpit monitoring and required active coordination with Purchasing, vendors, approvers, and internal stakeholders to resolve invoice and expense exceptions.
Operational governance emphasized daily, weekly, and monthly task management within the Accounts Payable function, escalation and reporting for invoices that could not be processed within agreed terms, and regular reconciliation of bank and AP ledger items. ServiceMax was configured to support core Field Service Management capabilities including work order management, technician scheduling and dispatch, mobile technician enablement, parts and depot inventory coordination, and service contract management. ServiceMax service analytics and operational reporting modules were embedded to support service performance monitoring and to align with Operational Excellence objectives defined by process owners.
The implementation was executed as a satellite system integration pattern, aligning ServiceMax with Smiths BIS principles that harmonize core ERP systems and manufacturing execution systems with satellite applications. Integration workstreams engaged Enterprise Architecture and Data Management to create interfaces for parts master synchronization, parts consumption and replenishment, and service-to-order flows, using standard application interfaces and event-driven workflows typical for Field Service Management deployments.
Governance and rollout were managed through Demand and Process Governance Boards and PMO oversight, with Business Analysis ownership for requirements, design, and quality assurance. The program emphasized alignment with enterprise architecture, continuous improvement of business analysis practices, and close collaboration with process owners to ensure ServiceMax supported end-to-end service and supply chain processes at Smiths Group.
