In 2020, Stater implemented Kofax Mobile Capture as the front-end of a mobile claims capture solution, paired with Kofax Transformation, to digitize building expense claims for mortgage customers. The project targeted Stater's mortgage servicing operations that manage loans for more than 40 lenders across the Netherlands and Belgium, focusing on customer submissions of contractor and supplier invoices and accelerating payout workflows. This deployment sits within Stater's claims and payments business function and moves initial document intake to customer smartphones, creating a single-source capture layer.
Kofax Mobile Capture and Kofax Transformation form the Intelligent Document Processing layer, converting submitted declaration forms and photos of receipts and invoices into structured data. The base configuration handles mobile form capture, image ingestion and data extraction, with planned introduction of OCR and configurable business rules to automate validation and reduce manual checks. An automated assignment engine routes each submission to a designated staff member for verification, and the workflow supports accept or reject decisions with downstream notification and payment initiation.
Captured data flows into Stater backend systems where claims are validated and payments are scheduled, integrating with email notification and payment posting processes. The initial deployment completed a successful trial with one partner and is being refined for a broader roll-out to other loan providers, alongside a planned customer portal for online claim management. Operational coverage spans customer-facing mobile capture, back-office claims processing teams, and the lender partners whose loans Stater services.
The implementation restructured previously manual scanning and manual data entry tasks by centralizing capture and instituting an automated assignment and verification workflow, reducing back-and-forth with customers. Governance changes include built-in validation checkpoints and role-based review by claims staff, enabling more focused quality control and fraud checking as routine tasks decline. Rollout sequencing began with a pilot and is planned to continue iteratively with tighter backend integration and two-way in-app communication capabilities.
Stater reports that the solution accelerated payout cycle time from around five working days to typically one day, and that a six month trial achieved 60 percent adoption among one client’s building loan customers. Stater expects Kofax Mobile Capture to free staff from routine data entry, reduce the cost, effort and risk associated with paper-based processes, and allow teams to focus on higher-value activities while supporting growth without proportional headcount increases.
