In 2015, Supermax Corporation Berhad deployed Access UBS (formerly Sage UBS) from The Access Group as its ERP Financial platform to centralize procurement, invoicing and inventory recordkeeping across manufacturing operations. The implementation covered core finance and operational teams, with explicit use cases in purchasing, goods receipt, invoice verification and monthly reporting workflows supporting factory and warehouse activities.
Configuration emphasized procurement and purchase order processing, accounts payable invoice matching, and inventory ledger maintenance. Access UBS was used to issue purchase orders of goods and services, record supplier invoices, verify supplier delivery orders against purchase orders, capture weight slips and maintain stock inventory data and reports. Document management capabilities were applied to sorting, filing and matching invoices with delivery orders prior to forwarding records to the accounts department for payment.
Operational workflows embedded in the deployment reflected end to end shipment and documentation processes, including generation of LOI and LOA for forwarding agents, issuance of Notice of Arrival, coordination with forwarding agents and liners on import and export activities, and planning shipment schedules to meet factory demand. The system supported recording receipt and delivery confirmations to ensure containers and tankers were tracked until delivered to warehouse within estimated arrival times, and facilitated follow up on delivery exceptions and customer complaints.
Governance and process design formalized invoice verification and documentation handoffs, requiring matched delivery orders and supplier invoices before accounts payable processing and enabling requests for credit or debit notes as part of verification. Procurement workflows in Access UBS were extended to manage progressive and partial deliveries and to capture progress claims for projects, while monthly reporting and statutory submission documentation for entities such as Gas Malaysia, ESWIS, DOE and Permulab were produced and filed according to established operational procedures.
