In 2014, Sweetser implemented Microsoft Dynamics GP as its ERP Financial system for core accounts payable and cash disbursement activities. The deployment at this healthcare organization with approximately 950 employees centralized Great Plains as the primary ledger for AP processing while payroll time capture continued through Sage Abra and Sage HRMS.
The Microsoft Dynamics GP implementation covered accounts payable workflows including entering employee reimbursements into Great Plains, running AP checks, and entering and paying vendor invoices for affiliated companies. Payroll functions remained closely coupled to time collection and validation, with staff sorting timesheets and SALs, checking data entry accuracy, and processing payroll payments for roughly 700 employees including 403 b and other deduction handling.
Integrations and operational coverage reflected a hybrid architecture, with Sage Abra and Sage HRMS serving as time and HR inputs feeding payroll validation activities, and Microsoft Dynamics GP serving as the authoritative AP and disbursement ledger. Operational scope included coordination with the Cash Disbursements team, maintenance of a late list for payroll timesheets, and frontline handling of incoming telephone calls and emails tied to payroll and payables inquiries.
Governance and process restructuring focused on rigorous data entry checks and manual controls around timesheet reconciliation, sorting and SAL management, and cross team handoffs to cash disbursements. The configuration emphasized functional modules aligned to ERP Financial requirements, instrumenting accounts payable, disbursement coordination, and payroll adjacency through integrated HR and time systems.

In 2020, Sweetser implemented PDS Vista Benefits as part of a hosted PDS Vista deployment, going live first with Vista HR, Payroll, and Benefits modules and subsequently deploying Vista Time, Self-Service, and Workflow modules. The organization opted to have PDS host their Vista environment and has plans to add Vista Analytics and Performance Management to expand reporting and talent processes.
PDS Vista Benefits was configured to centralize Benefits Administration across Sweetser’s 41 locations in Maine, replacing manual, paper-based enrollment workflows. The implementation used Vista’s open enrollment processing and self-service open enrollment wizard to capture employee elections, support benefit year changes including eligibility and premium calculations, and feed enrollment data directly into third-party benefit providers’ systems. The deployment reduced manual intake and enabled HR to transition from form collection and Excel exports to run-and-review reporting.
Vista Time and related self-service capabilities moved Sweetser from paper timecards to cloud-based time and attendance, enabling employees to enter time online or via mobile and managers to review and approve online. The organization leveraged approval tracking to identify missing approvals and streamline follow up, reducing the payroll department’s peak processing effort from three staff working long hours to two staff completing payroll earlier in the week. Reporting and data quality tools including Issue Detective and the EasyAsk query tool were implemented to audit inconsistencies and provide ad hoc reporting for operational and leadership needs.
Operational scope covered HR, payroll, managers and leadership, with specific workflow changes for open enrollment and weekly new hire orientation where 6 to 10 new employees enroll online each Monday. The project used Vista’s import feature to bulk ingest employee records and annual pay changes from spreadsheets, reducing manual data entry for onboarding and compensation updates. Sweetser rolled out the solution across all locations, centralized a single repository of employee and benefits data, and explicitly cited time savings and reduced paper as key realized outcomes.
