In 2018 TClarke implemented COINS HCM for Core HR to centralize employee records and apprenticeship administration within its HR function. TClarke is a quoted building services company with 1204 employees and used COINS HCM to support day to day HR operational workloads across its HR Department.
The deployment concentrated on employee master data management, apprenticeship lifecycle tracking for 80 electrical and mechanical apprentices through Stages 1 to 4, onboarding and contract issuance workflows, and disciplinary and performance case recording. COINS HCM was the system of record for entering and maintaining HR data for all employees, and it was used to manage the Government Apprenticeship Levy account and to produce structured apprenticeship stage reporting.
Operational coverage included the central HR Department under the HR Director, with the Apprenticeship Manager and HR Assistant operating COINS HCM to allocate apprentices to construction sites, arrange inductions for labour transfers, and compile quarterly progress reports for directors. The HR processes embedded coordination with the external training provider JTL and with regional colleges, ensuring training and assessment activities were reflected in COINS HCM workflows.
Governance and workflow changes focused on formalizing selection and induction processes, documenting disciplinary and performance management meetings, and creating consistent training allocation procedures within COINS HCM. COINS ERP was configured to support a rolling three year business planning process and detailed financial models, enabling consistent business unit plans and consolidated group reporting.
Operational coverage extended to the Group Finance function, which comprised approximately 50 finance staff and six direct reports to the Group Finance Director, and encompassed statutory reporting for multiple operating entities. The implementation consolidated disparate local accounting systems onto COINS ERP and supported strengthened commercial reporting across project teams and the executive board.
Governance and process changes accompanied the technical rollout, with the Group Finance Director leading the design of new controls, contract reporting procedures and a group-wide risk reporting framework. The program enabled the creation of a Shared Service Centre and introduction of regional finance business partners, reshaping finance operating model and internal workflows to align with COINS ERP processes.
Documented outcomes tied to the period of COINS ERP adoption include successful consolidation of accounting systems onto a common platform, a 20 percent reduction in department costs following finance reorganisation, and broader financial improvements reported by the board including increased revenue, higher profits and strengthened net cash positions.
