Configuration work focused on standard absence types, entitlement calculations, absence balances, employee and manager self-service for time off requests and approvals, and absence reporting capabilities typical of Absence and Leave Management deployments.
Operational coverage was led from ANZ with a Country Process Lead role driving four global design workshops and coordinating ANZ test plans across all six Workday streams. The rollout included coordinated business readiness and HR business cutover planning, and group training for employees, managers, HR, Finance and operations user adoption events to support system uptake.
Governance and process change activities included embedding project management capability within the HR function and driving the implementation plan for a Master Service Provider model for management of contingent workforce processes. Cutover governance incorporated stakeholder impact assessments, test plan leadership and structured training plan development and delivery to support steady-state HR operations post go live.

IBM Maximo was configured to manage core CMMS record sets including Assets, Locations, Preventive Maintenance schedules, PMs and Job Plans, and to support work order management and contractor management workflows. Configuration emphasized standardized job plans, asset hierarchies and scheduled PM routines to sustain facilities services and production support activities.
Operational scope was explicitly local to the Benalla site, covering building maintenance, waste services and facilities infrastructure, and coordinating in house maintenance teams with external contractors. Business functions impacted included maintenance operations, facilities services, safety and compliance teams, and production support, with IBM Maximo serving as the central Enterprise Asset Management system for those functions.
Governance and process responsibilities were vested in the Maintenance Coordinator CMMS Administrator who maintained CMMS records, supervised team members, coordinated timely provision of internal and external maintenance services, and ensured accurate and timely data entry. The administrator also supported audits and studies including safety, quality and environment audits, hazard analysis and corrective action requests, and maintained safety documentation such as JSEAs and SWMS to align IBM Maximo records with operational compliance activities.
