In 2017 Alamo Group deployed Cashbook AR Automation to address high-volume lockbox processing and manual cash application within its accounts receivable function. The deployment targeted AR Automation use cases, replacing a workflow that required users to identify customers from lockbox images and manually match payments to invoices in JDE, with three primary cash appliers, a manager, and a supervisor retained as the operational team.
Cashbook AR Automation was configured to automate lockbox image handling, automated customer identification, and payment-to-invoice matching as core functional capabilities. Configuration focused on validating remittance images, extracting customer references, and producing reconciled cash application results, reflecting standard AR Automation workflows for remittance processing and exception detection.
The implementation integrated with Alamo Group's JDE ERP environment under constrained access conditions, because due to data protection issues Cashbook did not have full access to JDE to update the completed automated results. As a result the solution delivered validated posting files and exception reports for ingestion or final posting inside JDE by Alamo Group, preserving ERP update controls while streamlining the upstream identification and matching process.
Governance and workflow changes accompanied the technical deployment, with the AR team moving from manual identification and line by line invoice searches to verification and exception handling of Cashbook-produced results. Operational oversight remained with the existing three cash appliers, manager, and supervisor, who supervised the automated outputs and retained control over final JDE postings and exception remediation.
