In 2020 Tidepool implemented Cronofy Scheduler Recruitment to manage scheduling of HIPAA-sensitive user support and research sessions. The deployment is aligned to the Interview Scheduling category and was chosen specifically to enable secure, calendar-driven appointment experiences for users of Tidepool services and the Tidepool Loop program.
The implementation uses Cronofy Scheduler Enterprise capabilities, including Private Events to hide personal health information from shared calendars, Scheduling Groups and Scheduling Rules for coordinated participant availability, and Public Link functionality to support clinician office hours. Configuration focused on minimizing exposure of PHI in calendar metadata while allowing rapid link creation and scheduling workflows that suit a small, distributed organization of about 60 employees.
Cronofy was integrated directly into Tidepool's Zendesk support workflow, adding a Cronofy icon inside the Zendesk comment box that launches a Scheduler window, creates a booking link and drops it into the ticket body. Operational coverage began with the Support team for complex tickets and expanded to Clinic Success and User Research teams for clinician office hours and usability testing, reflecting cross‑functional adoption without additional system integrators.
Governance included a formal security review and execution of a Business Associate Agreement to ensure HIPAA compliance before production use. Tidepool reported explicit operational benefits, noting the Private Events feature preserved confidentiality for PHI and that the Zendesk integration saved an estimated 15 to 20 seconds per scheduling action, improving efficiency for day to day support and research scheduling.
