Sage Intacct was configured with multi-entity functionality, robust user permissions, and tailored dashboards and reports that provide store-level and consolidated P&L visibility. The implementation included automated bank reconciliation rules and automated journal entry generation based on the client’s reconciliation rules, and Tablespoon delivered Sage Intacct dashboards tuned for weekly supervisor reviews. Plans were established to extend dashboard access to General Managers and to automate accounts payable as a next phase.
Operational integrations focused on bank feed connectivity and role-based access for 56 store bank accounts, with Tablespoon coordinating directly with a smaller regional bank and Sage to enable a live feed where possible. Tomtreyco retained upstream operational systems for inventory counts and time tracking, while consolidating financial posting and period close processes into Sage Intacct to enable single-login, anywhere access to all stores. In 2023, Tomtreyco DBA McDonalds evaluated Restaurant365 as part of a vendor selection in the Restaurant Management category and chose to implement Sage Intacct with Tablespoon as their systems integrator. Tomtreyco is a family-owned McDonald’s franchise operator with 56 locations across Northeast Ohio, West Virginia, and Pennsylvania, and the CFO initiated the project to eliminate duplicated manual work in financial reporting and to scale accounting operations ahead of planned expansion to over 70 locations.
Tablespoon configured Sage Intacct to deliver role-based dashboards and robust reporting, leveraging Sage Intacct multi-entity functionality and granular user permissions so Area Supervisors can access store-level performance from a single login. Implemented capabilities include real-time dashboards and reports, automated month-end closing workflows, bank reconciliation automation with rule-based journal entry creation, and centralized access to P&L and expense detail for supervisors and back-office staff.
Integrations and operational coverage were scoped to support all 56 individual store bank accounts and to provide anywhere access for supervisors and remote reviewers, with Tablespoon coordinating an upcoming bank feed integration for a smaller regional bank. The implementation included the live planning work to add additional bank feeds into Sage Intacct and planned automation of accounts payable, while Tablespoon’s Practice Director facilitated direct communications between Tomtreyco, Sage Intacct, and the bank for the feed onboarding.
Process and governance changes accompanied the technical deployment, instituting a weekly admin day for supervisors to review month-to-date P&Ls via Sage Intacct dashboards and transferring financial accountability from the back office to field supervisors. Configuration of user roles, permissions, and dashboard distribution was used to enforce data visibility rules and to enable a controlled rollout that will extend dashboard access to restaurant General Managers as a next phase.
Outcomes documented during the deployment were faster financial close timelines and materially reduced reconciliation effort, closing the month in 16 days at project start, improving to 10 days midyear and reaching a seven-day close, and reducing reconciliations that previously took 4 to 5 days down to one business day for all 56 locations. The implementation improved real-time visibility into store operations and created capacity for the finance team to focus on forward-looking planning, while future work remains to complete additional bank feed integrations and AP automation; Restaurant365 was part of the original evaluation process in the Restaurant Management selection.
