Benefitfirst Legacy Benefitfirst Benefits Administration HCM n/a 2020 2020
In 2020, the Town of Prosper, TX implemented Benefitfirst for Benefits Administration to centralize employee benefit enrollment and deductions across municipal HR and payroll workflows. The deployment supports the Administration department and the Human Resources Manager, with day to day operation executed by the Payroll Specialist responsible for accurate benefits and payroll data entry for the town's workforce of approximately 411 employees. Benefitfirst was configured to manage core Benefits Administration capabilities including employee benefit elections, open enrollment processing, qualifying event updates, benefit deduction mapping, and group term life insurance administration. Configuration work centered on automating benefit changes for new hires, open enrollment, and qualifying events, and on establishing rules for deduction calculation and special payroll events such as vacation buy-back and longevity pay. Operational integration aligns Benefitfirst with the Towns payroll and records ecosystem, with explicit data flows between Benefitfirst and the STW payroll system, NeoGov onboarding data, TMRS and ICMA retirement records, and Laserfiche for electronic document storage. The Payroll Specialist enters and reconciles payroll and benefits data into STW using inputs from Benefitfirst and other employee databases, while coordinating with Finance to calculate final payouts and to terminate deductions and benefits on separations. Governance and process changes formalized responsibilities and audit checkpoints, the Payroll Specialist performs verification and auditing of payroll and benefit entries, files electronic employee documents into Laserfiche each payroll cycle, and reports irregularities to the Human Resources Manager. The implementation emphasizes HR and payroll workflow orchestration, role based data entry and review, and cross-department communication between HR, Finance, and operational departments to ensure accurate benefits administration with Benefitfirst.
