Prior to deployment the collections process was fully manual, reliant on individually generated PDF invoices sent by email, ad hoc weekly reviews for past dues, and no reliable tracking for delivery or opens, which prompted Corporate Finance Director Anita Huffman to pursue automation.
The Gaviti implementation centralized invoice delivery and collections orchestration, providing daily automated invoice sends, automated past due reminders, a delivery and open log, and accessible invoice copies down to the invoice image level. Gaviti’s lookup and drill down capabilities were configured so collectors and finance staff could view account histories, post activity notes, and see an activity log that records errors and non delivered messages, increasing operational visibility.
Operational scope covered the corporate finance collections team, sales account managers who were granted view access and configured to be copied on past due notices, and customer service touch points that benefit from centralized AR records. The solution instituted a repeatable communication workflow, making collections activity auditable and ensuring sales account managers proactively engage buyers when accounts moved into past due status.
Governance and process changes included formalized follow up messaging and shared ownership between collections and sales, reducing manual touchpoints and standardizing customer communications. With Gaviti TWE Group reported improved aging visibility, recovery of invoices they had expected to write off, identification of delivery gaps where customers never received invoices, and faster access to AR information without manual report extraction.
