In 2018 UChicago Medicine implemented Equifax I-9 Management as its centralized solution for Form I-9 processing and retention. Equifax I-9 Management, classified under HR Compliance, became the primary system used by HR and onboarding teams to standardize I-9 completion across recruitment workflows.
Operational use of Equifax I-9 Management focused on electronic I-9 completion and case processing, with Contract Onboarding Coordinators completing and processing I-9s through the application during daily onboarding activities in 2020 and 2021. Onboarding activities coordinated with the system included candidate scheduling for occupational health screening, status updates for hires, and initiation of new hire provisioning.
The implementation was integrated into an existing hiring landscape, with completed candidate records and status changes entered into Oracle PeopleSoft, background checks retrieved and verified through HireRight, and candidate documents uploaded via iCIMS. Support staff entries were also posted to the IDPH web portal and physical ID badge creation was performed as part of the onboarding sequence, illustrating cross-system operational handoffs between Equifax I-9 Management and recruitment, background screening, and HR information systems.
Operational coverage emphasized Recruitment, Occupational Health, and HR onboarding teams, with Contract Onboarding Coordinators executing the day-to-day processing workflows. Governance centered on procedural orchestration between Equifax I-9 Management and downstream systems for hire provisioning and regulatory recordkeeping within UChicago Medicine.

| Epic Systems | Legacy | EPIC EHR | Electronic Health Record | ERP Services and Operations | n/a | 2015 | 2016 |
In 2015, UChicago Medicine deployed EPIC EHR as its enterprise Electronic Health Record to unify clinical and operational workflows across university and hospital operations. UChicago Medicine EPIC EHR Electronic Health Record supports clinical and operational functions and is managed as a centralized clinical application portfolio under the Clinical Systems Architecture and Epic Integrated Core Services teams.
The implementation encompassed core Epic modules and operational configurations including registration via Prelude, scheduling via Cadence, Ambulatory and Inpatient workflows, CPOE, Emergency Department, OR, transplant, transcription, and revenue cycle components. The environment also supported specialty systems integration points such as Via Oncology, Digital Innovation Trauma Registry, Extract Faxing, Elsevier Mosbys Skill, and Surescripts, and it included Meaningful Use and regulatory reporting capabilities and clinical decision support patterns.
The platform architecture is operated on an extensive virtual infrastructure, with operations managing over 800 virtual servers, tools and processes for data and application migrations, and ongoing upgrades including a full Epic 2018 upgrade with infrastructure and end user computing replacements. Integration patterns include electronic data interchange using HL7, RESTful interfaces, and FHIR, and custom API development using Express, Flask, and Cache specific to Epic integrations and partnerships such as Apple integration.
Operational governance was formalized through Hospital Operations and Clinical Leadership governance groups and IS leadership structures, with a managed team footprint including SRE, Release Engineering, QA, programming, integration, audit, and a dedicated EHR support organization that once comprised three managers and 39 business analysts. The program included budgeting oversight for CapEx and OpEx, documented application portfolio governance, disaster recovery and planned downtime processes, and controls to ensure scalability, reliability, security, and compliance with PHI and PII regulatory requirements.
Day to day delivery emphasized orchestration of environment readiness, seamless data migrations, audit responsiveness, and ongoing application support and maintenance, with the Clinical Systems Architecture team accountable for patterns and practices that align Epic EHR operations with clinical and business leadership priorities.
