In 2019 University of East London implemented Unit4 Business World as its ERP Financial application to centralize financial processing that supports Estates and Facilities, maintenance operations, compliance workflows and departmental finance activity across three campuses serving 27 buildings including 10 residential blocks. The Unit4 Business World implementation is positioned to manage core financial transactions tied to operational maintenance and compliance workflows used by estates staff and contractors.
Unit4 Business World was configured to provide core financial management and accounts payable processing together with expense management capabilities to handle contractor payments, departmental credit card accountability and invoice workflows. Configuration emphasized transaction routing and recordkeeping to align with preventive planned maintenance schedules and compliance inspection billing, reflecting the estates function requirement to track PPM records, service and annual requalification visits, remedials and emergency repairs.
The deployment included integrations with the university CAFM environment and affiliated estate tools, specifically Archibus for asset and space data and maintenance scheduling, Fraedom for expense and card reconciliation, Agresso as an existing financial data source, and SharePoint for documentation, committee minutes and O&M handover artifacts. Those integration points were used to synchronize maintenance schedules, contractor bookings and financial postings so that estates operational events produce corresponding financial transactions in the ERP Financial system.
Governance and operational changes centered on aligning permit to work issuance, contractor booking processes, PPM record management and monthly contract reporting with the Unit4 Business World financial workflows. Process ownership was extended to estates and finance teams to support internal and external audits, project handover of assets and O&M documentation, and routine reconciliation of maintenance-related spending through the new ERP Financial system.
