SAP SAP ERP ECC 6.0 SAP S/4 HANA ERP Financial ERP n/a 2019 2020
In 2019, University of Kentucky implemented SAP S/4 HANA as its ERP Financial solution. The SAP S/4 HANA deployment replaced SAP ERP ECC 6.0 and coincided with a platform and database migration from DB2 on IBM pSeries hardware running AIX to SAP HANA database on Dell R930 servers on SUSE for SAP inside a VMware hypervisor. The implementation focused on core ERP Financial capabilities typical of the category, including consolidated general ledger processing, accounts payable workflows, accounts receivable billing, fixed asset accounting, and financial close and reporting capabilities. SAP S/4 HANA was configured to centralize financial transaction processing and support institutional accounting policies, with configuration workstreams aligned to chart of accounts, fiscal period management, and statutory reporting requirements. Deployment architecture was delivered within University of Kentucky Information Technology Services infrastructure, leveraging the migrated SAP HANA database on Dell R930 servers and VMware virtualization. Operational Services teams retained responsibilities for server virtualization, data protection, virtual desktops, cloud systems and storage services, providing day to day platform support and ongoing system administration. The scope of operational coverage included central finance and administrative units across the university. Governance and rollout used a compressed migration window, including a documented 90 day platform and database migration, and proceeded alongside an ITS reorganization that separated operational duties. Operational ownership remained with the Internal ITS Operational Services organization, with roles such as Operational Services Lead and Operational Services Analyst IV managing solution architecture and infrastructure support for the SAP S/4 HANA environment.

Salesforce Work.com was configured to run daily health and wellness assessments, support manual contact tracing, and manage shift scheduling for campus personnel. Module usage included Workplace Command Center, Contact Tracing, and Wellness Checks, inferred from the vendor announcement, and these components were used to orchestrate case triage, exposure notifications, and individualized outreach logic. Operational coverage focused on campus populations across student housing, instructional staff, and operational teams, with the Workplace Command Center serving as a centralized coordination layer for reopening communications. The implementation emphasized workflow automation for wellness screening and manual contact investigation processes, and it aligned health screening, scheduling, and communications to a single platform. Governance changes included establishing daily assessment and contact tracing procedures and centralizing incident response through the Workplace Command Center. The deployment supported the university in triaging testing and personalizing communications during the 2020 fall semester, reflecting direct operational use in that period.
