In 2018 University of Technology Sydney implemented Oracle Cloud ERP as an ERP Financial deployment to support core payroll and accounts payable functions across the university. The implementation environment included Oracle Financials Cloud oracle 12 and Oracle Financial Payroll, and the engagement explicitly covered payroll processing for casual academic staff and supplier invoice management.
Oracle Cloud ERP was configured to handle functional modules for payroll calculations and contract payroll processing, accounts payable invoice matching, coding and processing, and supplier master data management. Operational workflows included fortnightly pay runs for casual academic contracts, calculation and processing of pay variations, and salary action advisories for casual academics, exam supervisors and co-operating teachers.
Integrations were implemented with SAP Concur for expense processing and Trim for document management, with Trim used to file all payroll source documents. The accounts payable workflow processed 150+ supplier invoices and credit notes into Oracle Financials Cloud and maintained master data for more than 300 suppliers, including supplier reconciliations and vendor inquiry handling.
Governance and operational ownership were expressed through payroll officer and payable officer responsibilities, which covered timely and accurate processing, maintenance of payroll records in Trim, and ongoing updates to supplier master data within Oracle Financials Cloud. The integration approach is API driven and event oriented, enabling bi directional data flows and centralized orchestration of student and administrative data across campus systems.
Governance and operational controls were explicit priorities due to regulatory obligations, resulting in tightened data governance, security controls, and monitored orchestration for student records and compliance reporting. Outcomes reported in the program include compressing grade ratification from a 16 day process to 24 hours, a reduction in support tickets and clerical overhead, and sustained uptime during peak enrollment when Boomi handled integration load seamlessly.
