In 2012, Ventas implemented SAP Concur Expense as its company-wide Expense Management solution, initiating an enterprise effort to standardize travel and expense handling. The project objective was to consolidate Travel and Entertainment policy and align all employees on an online T&E program, Concur, to provide a single source for expense submission and policy enforcement.
Configuration work emphasized expense reporting and approval workflows, policy enforcement rules, and online submission and reimbursement processing consistent with Expense Management capabilities. The implementation team consolidated disparate T&E rules into a unified policy framework that was encoded as system controls and automated routing logic within SAP Concur Expense.
Operational coverage was company-wide at Ventas and the implementation included participation on a pilot committee to drive design and rollout decisions. The program required cross-functional coordination between HR, finance and travel administrators to standardize processes and prepare the enterprise for adoption of the SAP Concur Expense platform.
Governance changes included drafting a new Travel & Entertainment policy that streamlined the two former policies from larger entities, incorporating rules and regulations to support the Concur deployment. Pilot testing and policy alignment established the baseline for expense governance and ongoing enforcement under the Expense Management program.

In 2016, Ventas implemented Wolters Kluwer Passport as its Legal Practice Management solution to centralize legal matter records and formalize corporate legal workflows. Wolters Kluwer Passport was brought into the company application portfolio managed by the Vice President, IT Applications and was positioned to support matter intake, matter lifecycle tracking, document association, compliance tracking, and legal reporting.
The Passport configuration emphasized standard Legal Practice Management capabilities, including matter management, role based access controls, workflow automation for approvals and reviews, and document linkage to corporate content repositories. The implementation was aligned with category‑typical functionality for matter centric case management, matter level metadata, activity and task orchestration, and audit logging to support legal and compliance processes.
Passport was deployed alongside a broader enterprise application portfolio that included Yardi, Sage FAS, Nexus Payables, M‑Files, SharePoint, Salesforce, and Longview, under a centralized applications organization. Operational coverage focused on the legal and compliance function while maintaining adjacency to finance, payables, document management, and CRM systems managed by the same IT applications team.
Governance and operational ownership rested with the Vice President, IT Applications who led an application team of financial analysts, system architects, software developers, and application administrators. That centralized ownership supported configuration management, release coordination, and cross application change control informed by prior experience integrating acquisitions and consolidating document management and application portfolios.
