In 2017 VetPartners Australia and New Zealand implemented Microsoft Dynamics NAV as its ERP Financial system to support a rapid acquisition led growth strategy. The implementation coincided with the group scaling from 43 to 85 veterinary hospitals, finance headcount growing from 5 to 9, and support office headcount expanding from 15 to 44, supporting approximately A$150 million in annual turnover.
The deployment replaced a MYOB general ledger with Microsoft Dynamics NAV and introduced companion products AP Smart for accounts payable automation and Jet Reports for management reporting. AP Smart automated key elements of the accounts payable process, eliminated three points of process failure, removed redundant complex coding and approval forms, and reduced invoice processing time per invoice from over 15 minutes to under 3 minutes while invoice volumes doubled without incremental headcount. Jet Reports enabled the development of fortnightly and monthly management reports, including leading and lagging KPIs, giving line managers, executive management and the board timely and reliable performance insight and supporting a reduction in month end close from more than 15 days to 7 days.
The Microsoft Dynamics NAV implementation was run in parallel with rostering and payroll projects using EmpLive for rostering and ADP for payroll, requiring coordinated change management across each site. Delivery required capture of site level rostering nuances, targeted training, and coordination of hardware rollouts with IT and Operations to embed time capture and payroll data into financial workflows. AP Smart and Jet Reports functioned as integrated companion capabilities to NAV to automate payables and standardize management reporting workflows.
Governance and operational change were driven by a CFO led shared services program to build an efficient, scalable finance platform and to establish and embed key performance metrics. Reporting workflows were rolled out to operational managers and the board, the ERP Financial deployment and companion solutions were delivered on time and on budget, and the program centralized finance operations and reporting as part of broader organizational capability building.
