| Microsoft | Jiwa 7 | Microsoft Dynamics NAV | ERP Financial | ERP | n/a | 2018 | 2018 |
In 2018, Vivin Imports implemented Microsoft Dynamics NAV as its ERP Financial system, migrating from Jiwa 7 to centralize financial posting and inventory valuation. The deployment targeted tighter integration between warehouse operations and finance to establish consistent SKU master data and inventory reconciliation workflows across the business.
The Microsoft Dynamics NAV configuration emphasized product master data management, inventory synchronization, and finance-aligned cycle count processes typical of ERP Financial implementations. Key functional capabilities configured included SKU master data capture, inventory transaction posting and reconciliation routines, and scheduled reporting to meet management and finance requirements.
Integrations were a core element of the rollout, the WMS was interfaced with Microsoft Dynamics NAV to support inbound, picking, cycle counting and overnight inventory synchronization, and RF handheld application issues were triaged and resolved to maintain transactional integrity. Operational coverage explicitly included warehouse operations, inventory control and finance departments, with overnight ERP synchronization and variance resolution between the WMS and the ERP.
Governance and process changes accompanied the technical work, standard operating procedures were enforced for WMS usage, reporting cadence was scheduled to operational and management needs, and user training was formalized into tipsheets and PowerPoint materials. Process mapping and root cause analysis were used to document requirements and liaise with the PWS team and vendor for additional WMS developments, and reconciliations were managed to satisfy company finance requirements.
Documented outcomes from the engagement include successful capture of the entire product master of over 4,000 SKUs within a month of start, analysis and mapping of operational processes within six months, and implementation of the WMS with a working interface to Microsoft Dynamics NAV within three months.

| Microsoft | Legacy | Microsoft Power BI | Analytics and BI | Analytics and BI | n/a | 2020 | 2020 |
In 2020, Vivin Imports deployed Microsoft Power BI as the Analytics and BI component of a Microsoft Business Solutions stack to centralize management reporting across its 200,000 square foot head office and distribution centre in Wetherill Park NSW and its Australia and New Zealand warehouse network. The Microsoft Power BI deployment was delivered by Dynamics Square to provide real time dashboards and strategic reporting that consolidate finance, supply chain, sales, and customer service data for executive and operational stakeholders.
The implementation paired Microsoft Power BI with Microsoft Dynamics NAV, Microsoft Dynamics 365 for Customer Service, and Microsoft Office 365, hosted on Microsoft Azure Cloud Services. Microsoft Power BI was configured to surface management reporting across sales order booking, backlog, order dispatches, profit analysis, and critical financial statements, and to leverage historic sales forecasts to support item planning and procurement workflows.
Integrations were executed with Vivin’s paperless warehousing environment and existing EDI channels so that customer orders land directly in Microsoft Dynamics NAV and initiate dispatch and delivery planning while inventory movements are reflected in Power BI dashboards. The deployment scope covered finance, supply chain and distribution functions across Australia and New Zealand, and incorporated data feeds from third party warehouses and manufacturing sites in India, China, Vietnam, Malaysia, and Indonesia where available to reporting.
Governance changes included the establishment of formal SLAs and an escalation matrix for customer service routed through Microsoft Dynamics 365 and visibility of those KPIs in Microsoft Power BI reports. Dynamics Square led the consulting, implementation and support engagement, configuring reporting models and automations that enabled timely period close tasks such as bank reconciliation and customer billing to be tracked through centralized dashboards.
Reported outcomes from the deployment included improved item planning using historic sales forecasts, lower inventory holding costs, more efficient lead times and more reliable dispatch and delivery planning, improved financial management and real time management reporting, and strengthened customer engagement through defined SLAs. The decision to run the solution on Microsoft Azure reduced the need for on premise hardware expansion and consolidated vendor management for Vivin Imports.
