The deployment supported general ledger management, accounts payable processing and bank reconciliation workflows while interfacing with existing payroll and time collection systems for a multi-state workforce of more than 700 employees in Maryland, the District of Columbia, Virginia and North Carolina.
Oracle NetSuite ERP was configured as the authoritative financial ledger, receiving corrected and uploaded GL extracts and serving as the payment engine for vendor and card-based disbursements. Configuration and operational responsibilities included coding and preparing bills in DocuPeak for payment processing in NetSuite, monthly bank statement to payroll reconciliations, PEX and Capital One card setup and maintenance, and maintenance of leave balances and payroll adjustment entries documented in payroll status change forms.
The implementation integrated with a set of named payroll and time systems, including ADP Workforce, EzLabor Time & Attendance, iSolved Time and Timeforce, and with DocuPeak for document imaging. Data flows included preparing an EzLabor export of hours into ADP Workforce, importing new hire information into ADP from HRB, downloading and correcting the General Ledger for upload to Oracle NetSuite ERP, and supporting PEX reload and reconciliation processes for corporate card funding.
Operational governance extended to payroll administration and systems administration tasks, including processing biweekly payroll-related transactions such as terminations, tax form changes, direct deposits, bonus and vacation payouts, retro payments and manual check handling, while maintaining the payroll database. Process controls and knowledge transfer activities included creating a payroll manual, training new employees on payroll systems and timeclocks, serving as backup for HR and accounts payable functions, and generating custom ADP reports for vice presidents and program directors.
