In 2020, Vrije Universiteit Brussel implemented Odoo Invoicing as part of an AP Automation deployment supporting the BREATHNEY ventilator manufacturing initiative. The implementation of Odoo Invoicing was executed alongside a broader Odoo ERP footprint to deliver procurement to billing traceability for the project team.
The deployment included the Inventory, Manufacturing, Purchase, Invoicing, PLM and Rental apps, with configuration focused on bill of materials visibility, manufacturing order tracking, goods receipt registration, purchase order control and invoicing workflows. Odoo Invoicing was used to close the loop between purchasing and financial processing while PLM and Manufacturing provided component-level traceability that had previously been managed in Excel sheets.
The solution was provisioned on Odoo Online and configured for a focused user base of 10 Odoo users within an organisation of approximately 3900 employees across four campuses in Brussels. Operational coverage targeted project engineers responsible for incoming spare parts, manufacturing teams executing assembly orders, and the project unit monitoring deployed respiratory machines at hospital sites, using the Rental app to record device deliveries and time in use.
Governance and rollout followed Odoo’s implementation methodology, with a rapid four day go-live enabled by a concise scope and hands-on support from Odoo functional consultants Jorn De Keersmaecker and Julian Leonard and local leadership including Catherine Vieslet. Outcomes reported by the BREATHNEY team include a working parts database replacing spreadsheets, optimized stock level management, the ability to register incoming spare parts, and a clearer overview of ventilator deliveries and usage, all delivered without an extended implementation timeline.

| SAP | Legacy | SAP SuccessFactors Employee Central | Core HR | HCM | n/a | 2018 | 2018 |
In 2018, Vrije Universiteit Brussel implemented SAP SuccessFactors Employee Central as its Core HR platform to support HR and student lifecycle business functions. SAP SuccessFactors Employee Central was deployed as the central cloud HR system to underpin a redesign of student life cycle business processes, organisation, and software.
The implementation included SAP SuccessFactors Employee Central, ECTime, and RCM modules, configured to manage employee master data, time and attendance, and recruitment workflows. Integrations were implemented with payroll systems and with ServiceNow to establish a service delivery model, enable end to end HR to payroll data flows, and route HR case management through an IT service management layer.
Deployment followed a cloud delivered HRIS architecture that centralized core HR data in SAP SuccessFactors Employee Central and used an integration layer for external systems. The program explicitly covered HR and student services processes at Vrije Universiteit Brussel, with configuration work oriented to student life cycle touch points and workforce record consolidation.
Governance established a service delivery model using ServiceNow and centralized data ownership for core HR records, while project leadership advised directors and line managers on organisational development and change management. Rollout activities combined module configuration, integration testing with payroll and ServiceNow, and stakeholder coaching to support process and organisational adjustments.

| Odoo | Legacy | Odoo Manufacturing | Manufacturing ERP | ERP Services and Operations | n/a | 2020 | 2020 |
In 2020, Vrije Universiteit Brussel implemented Odoo Manufacturing as part of a Manufacturing ERP deployment to support the BREATHNEY R&D project for rapid production and distribution of respiratory machines. The deployment ran on Odoo Online, covered a focused user base of 10 Odoo users within VUB, and targeted the BREATHNEY project team alongside Business Services to provide a single system of record for production parts and device distribution logistics.
The implementation bundled Odoo Manufacturing with Inventory, Purchase, Invoicing, PLM and Rental applications. Odoo Manufacturing and PLM were configured to capture and manage bills of material and manufacturing orders for ventilator assemblies, Inventory was configured to register incoming spare parts and optimize stock levels, Purchase automated procurement workflows for components, Invoicing handled transaction records, and Rental provided a register of delivered respiratory machines and their time in use at hospital sites. The narrative explicitly notes the move away from spreadsheet based BOMs to a database driven BOM and manufacturing order workflow.
No external enterprise integrations were reported, the solution architecture leveraged Odoo Online to centralize inventory, procurement and manufacturing data for the BREATHNEY project. Operational coverage focused on the BREATHNEY R&D collaboration between VUB, Flanders Make and Audi Brussels, supporting manufacturing orders and the logistics of distributing devices to hospitals worldwide, with project engineers and business services as primary business function users.
Governance and rollout emphasized a narrow project scope and the Odoo implementation methodology, delivered with direct support from Odoo functional consultants Jorn De Keersmaecker, Julian Leonard and Catherine Vieslet. The deployment was executed rapidly as a pro bono engagement, going live within four days, and produced explicit outcomes including clearer tracking of spare parts, optimized stock levels, the ability for engineers to register incoming parts, and a consolidated overview of respiratory machines delivered to hospitals.
