In 2013, Wageningen University & Research implemented MobileXpense Expense Management to centralize institutional expense reporting and to support finance and HR functions. The deployment of MobileXpense Expense Management served as the universitys primary Expense Management application and was positioned to standardize expense capture and approval across administrative and research support teams.
The implementation configured typical Expense Management capabilities, including digital expense capture and receipt imaging, multi-level approval workflows, policy enforcement, and expense coding for financial posting. MobileXpense Expense Management was configured to handle cost allocation and workflow routing consistent with higher education finance processes, and integrations were architected to push validated expense transactions into financial systems.
Integrations were established with Unit4 Business World and ADP Workforce, and MobileXpense Expense Management exchanged data with It-education, Blackboard, Proqme and multiple custom-built WUR applications including a custom Oracle Database. Governance focused on centralized approval routing, standardized expense policy controls, and integration-driven data synchronization between MobileXpense Expense Management and WURs finance and HR application ecosystem.
