The implementation was scoped as AP Automation to address more than 30 percent annual growth in distribution and to consolidate decentralized, manual AP processing across North American operations into a single central repository and uniform workflow. The deployed configuration included DataServ AutoVouch automated 2 and 3-way matching, a Digital Mailroom with SaaS OCR invoice capture, automated workflow processing, Management Reporting, and systemized retention and storage of AP documents. Invoices captured by the Digital Mailroom were scanned, indexed, and hosted online, with documents that successfully vouching via AutoVouch sent directly to Wente Family Estates financial system AMS for import, while non vouching documents were presented to AP queues for correction or exception handling. Operational coverage centered on Wente’s central accounting unit and extended to multiple Wente sites including the Livermore location, with invoices accepted by mail, email, or fax and routed electronically. Non purchase order invoices were routed to buyers for coding using the Wente approval matrix and existing email functionality, and exceptions could be routed to any Wente operation for approval or coding to preserve parallel operational workflows. Rollout and governance used a tailored test plan, a Rapid Adoption Kit, and comprehensive hands on training delivered by DataServ client support representatives on site, supported by full user documentation. The program established a document retention policy, query and audit trail functionality for supervisor and management visibility, and standardized approval workflows to strengthen financial controls and process consistency. Stated outcomes included lower document processing costs and consolidation of redundant business operations within the central accounting unit, improved timeliness in invoice setup for payments, and enhanced auditability and vendor support through online retrieval and annotation capabilities. The implementation also preserved environmental benefits through centralized digital document handling and participation in DataServ recycling practices. |
