In 2018 White Stuff implemented Mercer Darwin Benefits, formerly Thomsons Online Benefits, for Benefits Administration to manage employee benefit elections and payroll deduction feeds. The deployment supported operations for payroll processing of approximately 1,900 monthly paid staff across 130 UK sites and Head Office, aligning benefits administration with existing payroll cycles and HR processes.
Configuration focused on benefits data management and deduction processing, with Mercer Darwin Benefits used as the benefits portal for uploading employee deduction data into payroll. Mercer Darwin Benefits was configured to capture employee benefit selections and produce deduction files, and those deduction files were uploaded into the Open People Payroll system to drive payroll inputs and payroll journals.
Operational governance integrated benefits administration with payroll, HR and finance workflows, reflecting existing practices for payroll review and sign off, variance annotation within tolerance, P11D and PSA processing, and submission of FPS and EPS RTI returns. Day to day operations included creation of payroll control accounts for benefits, coordination of third party payments such as GAYE and court order deductions, maintenance of process notes, and ad hoc support for Germany, Belgium and Guernsey payroll activity, preserving close working relationships between HR and Finance.

IgniteTech Prologic was configured to manage electronic funds transfer and EPoS connectivity, capturing till transaction streams and routing EFT authorizations into central processing. Implemented functional capabilities included store network connectivity, till data ingestion, real-time POS data transfer, replenishment orchestration, and store performance reporting within the Retail Management application.
The deployment integrated directly with store tills and EFT endpoints across White Stuff's UK store network, feeding centralized replenishment and reporting processes used by store operations, merchandising, inventory planning, and finance. Governance relied on phased store rollouts and real-time transaction validation at point of sale to support updated replenishment workflows, and the project is reported to have produced improved stock allocation and real-time store performance reporting during the 2006 to 2008 rollout.
