In 2014, Kela Health implemented SAP ERP ECC 6.0 - Warehouse Management (WM) to support outsourced warehouse operations with logistics partner H. Essers and to preserve end-to-end traceability across inbound, storage, and outbound flows in Belgium. The deployment centered on the Warehouse Management application and tied into Kela's broader SAP landscape to manage storage, picking, packing, and direct distribution to pharmacists.
Kela's SAP environment included Sales and Distribution SD, Materials Management MM, Quality Management QM, and an LE-WM solution that remained active during migration phases. Functional workstreams focused on Stock Transport Order STO flows to transfer goods to H. Essers, with Quinaptis implementing the STO flow in one day and completing broader WM customizations within two weeks, plus finetuning for subcontracting, handling unit integration, and QM integration.
The technical architecture created a hybrid topology, connecting the on premise SAP ERP ECC 6.0 back end to a cloud integration layer using SAP Integration Suite basic edition on SAP BTP. Alluvion executed the interfacing on SAP BTP, exchanging business documents as IDocs into the Cloud Integration platform, converting them to customer formats, delivering files via SFTP to H. Essers, and retrieving confirmations that were transformed and automatically processed back into SAP ERP ECC 6.0.
Quinaptis oversaw the functional and technical parts of the integration while Alluvion handled the SAP BTP interfacing, and cross‑organizational teams from Kela and H. Essers executed testing and cutover activities to meet the fixed contractual deadline. The project scope preserved the existing LE-WM during the physical migration to H. Essers, implemented exception notification for IT agents to handle interruptions, and concluded with a successful go live.

Governance for the environment was structured around incident and service request management, change classification and implementation, and SLA follow up, led by a senior SAP consultant based in Genk. Operational responsibilities documented include process optimizations, reporting and query building, coordination with the TVC Service Manager, and communication of change and issue status to internal management, aligning warehouse operations, supply chain and finance stakeholders.
