In 2014, Abu Dhabi Coop deployed Microsoft Dynamics AX as its ERP Financial system across its retail operations. The Microsoft Dynamics AX implementation supported core stock control and financial workflows for a cooperative with roughly 40 branches and a central warehouse, covering Operation, Logistics, Fresh Food, Commercial, Finance, IT, and Internal Audit departments.
The implementation emphasized inventory management and procurement tied to financial settlement processes, using Microsoft Dynamics AX for stock controlling, monitoring, reconciliation, and report preparation. Functional capabilities implemented included perpetual stock take and annual stock take workflows, stock receiving controls, high value item control procedures, generation of system stock reports, and supplier final settlement activities including GRV, credit note handling, and deduction documentation.
Operational coverage extended across branches and the warehouse, with the ERP Financial instance used to identify discrepancies between branch and warehouse inventories and to coordinate remediation. Day to day operations integrated business users from purchasing, internal audit, information technology, operations managers, area managers, quality teams, and branch managers to resolve stock issues and align transaction records.
Governance and process changes accompanied the Microsoft Dynamics AX rollout, with new standard operating procedures implemented in warehouse and branch operations to standardize controls and auditing cadence. Stock auditing processes were institutionalized, including coordinating an annual stock audit and finalizing perpetual stock take variances to prepare variance and discrepancy reports for management action and supplier settlement.
The system was explicitly used to find stock discrepancies and to generate reports that support managerial decision making, and it produced the documentation required to finalize supplier settlements and close vendor accounts. Abu Dhabi Coop Microsoft Dynamics AX ERP Financial supported crossfunctional workflows between inventory control and finance to operationalize stock reconciliation and supplier payment closure.
