In 2013 Air Niugini implemented Epicor ERP as an ERP Financial platform to centralize fixed asset accounting and capital expenditure controls across departmental finance functions. The deployment focused on establishing an enterprise asset register to record assets into respective categories, capture location, original price, purchase date and the date put into use.
Epicor ERP was configured to support fixed assets master data, capital expenditure sheet maintenance for departmental purchasing, and formal asset disposal processing. The capital expenditure sheet is used by departments to request purchases against budget, with many purchases noted as occurring outside approved budgets during the financial year.
Asset disposal and book value determination are processed inside the Epicor ERP PX Finance System module, with disposal postings contingent on an approval form signed by GM Finance, the Department Manager and the CEO. Financial reconciliation workflows were implemented to reconcile the asset clearing account, the loan repayment account for a residential building and other specified accounts.
Operational coverage includes departmental finance teams and on-site asset custodians, with a governance program requiring yearly on-site verification of assets to confirm they are in use and properly maintained by users. Approval routing, asset verification schedules and lifecycle record updates were embedded into Epicor ERP to align asset management events with financial posting controls.
