In 2018, Airspect implemented Lightyear Accounts Payable, deploying an AP Automation application to formalize accounts payable processing as the business scaled. ProAMS assisted the engagement following a bookkeeping conversion from QuickBooks to Xero, and after prior integrations of invoice capture and expense tools that had been introduced to support the growing business.
Lightyear Accounts Payable was configured to provide core AP Automation capabilities, including electronic invoice capture and data extraction, invoice approval workflow configuration, and supplier invoice coding aligned to the company chart of accounts. Configuration work focused on standardizing invoice routing and coding rules so accounts payable transactions could be processed consistently by the small finance team.
The implementation covered finance and bookkeeping functions within the family owned Brisbane service business, and was provisioned alongside other operational systems that ProAMS had introduced, including Receipt Bank and Invitbox previously, and the field systems used for time and job costing. The Lightyear Accounts Payable rollout fit into a broader effort that moved job management out of spreadsheets into SimPRO and standardized time capture first with Deputy and later with T Sheets.
Governance changes instituted as part of the deployment included defined approval routing for supplier invoices, supplier master data controls, and repeatable month end posting procedures to ensure reliable bookkeeping handoffs. The Lightyear Accounts Payable deployment served as the AP Automation layer in Airspect Lightyear Accounts Payable AP Automation architecture, centralizing invoice processing as part of the companys consolidated bookkeeping and operational systems strategy.

Airspect is a family owned business with 20 employees, and the technician workforce frequently worked overtime, which created a clear operational need for more accurate time capture to support scheduling and job costings.
ProAMS configured Deputy Time and Attendance with standard time and attendance and rostering controls, and mapped clock-in data to job tracking workflows appropriate for a small professional services field workforce. The Deputy deployment sat within a broader systems stack assembled by ProAMS, which included conversion of accounting to Xero from QuickBooks, and integrations with Invitbox for accounts payable and Receipt Bank for expense capture.
Operational governance established simple technician submission and approval workflows for timesheets, enabling foremen and office staff to reconcile hours against job records. ProAMS subsequently helped Airspect transition job management from Excel to SimPRO over approximately three months, and later moved time capture from Deputy to T-Sheets, leveraging SyncEzy integration between T-Sheets and SimPRO so a single timesheet could be used for both job tracking and payroll.

In 2018, Airspect implemented simPRO Field Service Management to centralize job management and scheduling for its Brisbane-based air conditioning and mechanical service operations, aligning tools to support rapid recent growth. The implementation targeted core operational functions to move job management off Excel spreadsheets and into a cloud-hosted Field Service Management platform.
The simPRO Field Service Management deployment was configured to support job scheduling, job costing and project management workflows, with emphasis on enabling field technicians to record time and costs against jobs. Configuration work focused on mapping existing spreadsheet-driven job records to structured simPRO jobs and quotes, and establishing processes to capture job costings and scheduling data in the application.
Integrations were explicit and sequential, reflecting an end-to-end operational stack. ProAMS converted Quickbooks to Xero for bookkeeping, and integrated Invitbox for accounts payable and Receipt Bank for expense management, while timekeeping began with Deputy and was later transitioned to T-Sheets. The T-Sheets integration to simPRO was enabled using SyncEzy software, which consolidated one timesheet submission for both job time tracking and payroll processing.
Governance and rollout followed a defined three month transition period during which jobs were migrated from Excel into simPRO and staff workflows were updated to use the cloud application for project management. The rollout impacted field operations, scheduling, finance and payroll workflows, and ProAMS continued iterative improvements post-implementation, with Airspect reporting successful ongoing use of simPRO to better manage projects and operational efficiency.
