In 2014 Ask Jeeves implemented Oracle E-Business Suite as its core ERP Financial system, deploying Oracle EBS Applications R12.2.4 to address accounts payable, cash management, general ledger and fixed assets processing. The engagement covered implementation and enhancements across financial modules, with explicit workstreams for Procure to Pay, Acquire to Retire and Record to Report business flows that aligned financial accounting and asset lifecycle management.
Configuration and functional design focused on Oracle E-Business Suite financial capabilities, including design of Chart of Accounts, setup of recurring journals, statutory journals and mass allocation journals, and creation of Financial Statement Generator reports with row sets, column sets and content sets. Fixed assets configuration included corporate book creation, asset categories, flexfields for asset key location and category, and system controls. Tax configuration used EBtax with creation of a US tax regime and BR030 and BR100 rules, and GL configuration provided multiple ledger access through GL Data Access Sets together with Multi OU access via security profiles. Sub-Ledger Accounting methods and SLA rules were defined to generate multiple accounting representations, and month end close processes were formalized.
The technical architecture used Oracle E-Business Suite 12.2.4 integrated with Oracle RDBMS 10g for transactional persistence, Oracle Reports 10g for reporting, SQL Loader for bulk data loads, and Oracle Developer on Microsoft Windows Server 2008 for customizations and extensions. These platform components supported functional modules AP, GL, CM and FA and were used for testing, reporting and post production data loads.
Governance and delivery used AIM application implementation methodology with documented artifacts such as RD.010, RD.020, BR.010, BR.030 and BR100 to capture requirements, gaps and future state processes. Responsibilities and ledger assignments were created and attached to user responsibilities for secure access, testers executed defined test scenarios and gap analysis was performed to validate requirements. End user training and knowledge transfer were delivered with training materials and user manuals covering AR, AP, GL, FA and CM, and post production support processes were established to assist month end closing and reconciliations.
Operational scope encompassed finance and accounting functions across the organization with project activities including requirements gathering, configuration, testing, documentation and support for Oracle E-Business Suite.
