In 2016, Aspen U.S. Insurance implemented Mercer Darwin Benefits (formerly Thomsons Online Benefits) as its Benefits Administration platform to manage national and international employee benefits for its workforce of roughly 1,100 employees. The deployment served as the central benefits administration system for group reward and HR functions.
Mercer Darwin Benefits (formerly Thomsons Online Benefits) was configured to support employee self service enrollment and benefit selection workflows, with eligibility rules and structured data capture for PMI, PHI, CCV and other plan types. Configuration work included maintaining the Thomson/Darwin site records of employee benefit selections and producing regular uptake reports, aligning with standard Benefits Administration capabilities such as enrollment management and reporting.
The implementation included operational integrations and data flows between Mercer Darwin Benefits and Aspen’s HR and payroll processes, explicitly updating Success Factors with employee benefit choices and supporting payroll with benefit pay deduction queries. Aspen’s benefits team also used the platform as the hub for liaising with benefit providers on contract renewal and policy inquiries, enabling end to end transactional handling of employee queries.
Governance was established through an in house Employee Benefits Specialist role that handled day to day benefit queries, prepared monthly uptake reports, reported on benefit trends and assisted on ad hoc benefits projects. The operational model emphasized centralized benefits administration, provider coordination and routine reporting to support HR, payroll and group reward decision making.
