| Rillion | Legacy | Rillion AP Automation | AP Automation | ERP | n/a | 2016 | 2016 |
In 2016 Barona Group implemented Rillion AP Automation to consolidate accounts payable across its 64 separate juridical companies, addressing a year volume of approximately 80,000 invoices and an estimated 240,000 invoice lines by the end of 2016. The deployment targeted AP Automation for financial administration to provide group-level visibility and standardized invoice processing rules across the expanding professional services organization.
The Rillion AP Automation implementation centralized invoice capture, automated three-way and recurring invoice matching, and introduced line-level processing and structured approval workflows to handle high invoice throughput. A contract-matching capability was configured to match recurring invoices directly to contracts without manual intervention, reducing manual reconciliation work and standardizing invoice validation across entities.
Deployment occurred simultaneously across all group companies, with purchase ledger and financial administration teams closely involved in planning and governance of the rollout. Financial processes were centrally managed so that approvals, exception handling, and reporting operate from a unified AP platform, enabling consistent controls and process orchestration across the group.
Governance and operational transparency were emphasized, with tools implemented to monitor personal workload, surface bottlenecks, and streamline reporting for management. As a result of the Rillion AP Automation rollout, invoice circulation time fell from 16 days to 4 days, processes became more transparent, and collection of information for reporting and management was accelerated.

| Recright | Legacy | Recright Video Interviewing | Video Interviewing | HCM | n/a | 2017 | 2017 |
In 2017, Barona Group deployed Recright Video Interviewing to embed video-based screening into its recruitment, staffing, and headhunting services. Recright Video Interviewing was positioned as a primary candidate screening tool for applications submitted via Barona’s website and open application channels, enabling faster progression from application to candidate evaluation.
The implementation emphasized recorded asynchronous interviews and scheduled video screening invitations, which allowed recruiting consultants to invite a larger number of candidates to the screening stage compared to phone interviews. Recright Video Interviewing was used to triage applicants, surface the most suitable talents for subsequent face to face interviews, and capture candidate attitude and cultural fit earlier in the process.
Operational use extended across Barona’s Finland operations and among international recruiting staff, with hiring managers from client organizations routinely engaged in the video interviewing stage. Barona reported that in some cases they could introduce a suitable candidate to a client within the same day, and that video interviewing helped the team recruit across time zones, supporting a 24/7 recruiting model referenced by staff in Hong Kong.
Governance and workflow changes centered on centralizing the screening gate with video interviews, increasing cross team interviewing where consultants screen candidates on behalf of colleagues, and involving client hiring managers earlier in the funnel. The shift reduced the pool of applicants taken to in person assessment to those vetted by Recright Video Interviewing, expanded candidate reach, and accelerated hiring cadence as described by Barona’s HR consultants.

In 2018, Barona Group implemented Hubspot Live Chat. The Hubspot Live Chat deployment, using HubSpot Conversations, is categorized as Chatbots and Conversational AI and was embedded on Barona's public website to enable real time customer engagement and lead capture for marketing and client services.
Implementation focused on the web embedded chat widget and the HubSpot Conversations inbox, configured for contact capture, scripted responses, and session transcript retention. Functional modules implemented included live chat routing, canned replies, automated pre chat qualification forms, and persistent conversation history to support ongoing engagement workflows.
The deployment was operated within Barona's HubSpot environment to centralize message handling and data capture, enabling conversation history and contact enrichment in a single inbox. Operational coverage emphasized customer engagement and inbound lead qualification, supporting marketing and client services teams on the Finland facing website.
Governance was organized around a centralized conversation inbox, operator runbooks, and defined escalation paths from automated chat interactions to human agents, with operator training and scripted templates to ensure consistent responses. Ongoing management and configuration were maintained at the corporate digital channel level to preserve conversational quality and routing policies.
