The Rillion AP Automation implementation centralized invoice capture, automated three-way and recurring invoice matching, and introduced line-level processing and structured approval workflows to handle high invoice throughput. A contract-matching capability was configured to match recurring invoices directly to contracts without manual intervention, reducing manual reconciliation work and standardizing invoice validation across entities. Deployment occurred simultaneously across all group companies, with purchase ledger and financial administration teams closely involved in planning and governance of the rollout. Financial processes were centrally managed so that approvals, exception handling, and reporting operate from a unified AP platform, enabling consistent controls and process orchestration across the group. Governance and operational transparency were emphasized, with tools implemented to monitor personal workload, surface bottlenecks, and streamline reporting for management. As a result of the Rillion AP Automation rollout, invoice circulation time fell from 16 days to 4 days, processes became more transparent, and collection of information for reporting and management was accelerated.

Governance and workflow changes centered on centralizing the screening gate with video interviews, increasing cross team interviewing where consultants screen candidates on behalf of colleagues, and involving client hiring managers earlier in the funnel. The shift reduced the pool of applicants taken to in person assessment to those vetted by Recright Video Interviewing, expanded candidate reach, and accelerated hiring cadence as described by Barona’s HR consultants.
