Production workflows were complemented by in-house content creation using Adobe InDesign, Adobe Page Maker and Adobe Photoshop for monthly and quarterly newsletters, postcards, envelopes and direct mail letters, with print-ready files routed to the Neopost Smart Mailer and folding and inserting machine.
Mailing operations were coordinated with the organizations donor database for list management, segmentation and the fulfillment of regular and 501c 3 donation acknowledgements and tax letters. Digital communications platforms Ezine Director and Constant Contact were used for statewide web e-alerts and press releases, creating a combined physical and digital outreach process where printed mail runs and electronic alerts were scheduled in tandem.
Operational governance emphasized staff cross-training and volunteer coordination to maintain data updates, address changes and mailing production scheduling. Responsibility matrices included maintaining donor records, processing donations and preparing tax letters, operating the Quadient Neopost S.M.A.R.T. equipment for bulk mail projects, and labeling trays to ensure timely postal dispatch from the Sacramento office.
