The SAP S/4 HANA application was positioned to provide a single source of record for financial transactions and reporting across university administrative units.

IQVIA Clinical Trial Financial Suite was configured to run the Clinical Trial Payments workflow that tracks and administers site payments, supports invoice submission, provides payment status visibility, and enables export of formatted payment reports to Excel. The solution’s intuitive interface and structured payment records reduced manual invoice handling and allowed a single site manager to manage invoicing, payment confirmation, and discrepancy investigation end to end.
Operational coverage was limited to the University of Chile site and involved interactions with the trial sponsor who mandated use of the Clinical Trial Payments solution, giving both the site and sponsor shared visibility into payment status. The implementation supported site financial operations throughout the two year Phase 3 trial and preserved access to historical payment data via downloadable reports, aiding post trial record keeping.
Process changes included shifting invoicing from multi recipient email threads to in solution uploads, centralizing payment documentation, and altering day to day payment administration responsibilities so the site manager assumed ownership of payments. These workflow changes removed the need for manual email tracking of invoices and simplified investigation of payment discrepancies by linking payments directly to individual study visits.
Explicit outcomes reported by the site included the avoidance of hiring additional payment staff, faster receipt of sponsor funds in some cases measured in days instead of weeks, and maintained cash flow during one of the site’s largest trials. The Clinical Trial Payments capability within IQVIA Clinical Trial Financial Suite is cited by the site as a key enabler for efficient Clinical Trial Management and for reducing administrative burden during high enrollment studies.
